HSL Music Privacy Policy

HSL Music & HSL Musics Youth Performance Choir is committed to protecting your data and upholding your privacy. This information outlines what information we collect and how we store and process it, in accordance with the General Data Protection Regulation 2018 and the Privacy and Electronic Communications Regulations 2003.

Information we collect
We collect and process the following data:

  • Names & contact details (inc. address)
  • Date of birth
  • Health information (including dietary requirements, allergies and health conditions)
  • Digital information such as photographs or video recordings
  • Records of communication, whether in electronic or hard copy format, which may include general correspondence.
  • Digital information such as photographic and video recordings of events, and media consent records where relevant.

Legal 

Our lawful bases for collecting or processing personal information to provide services are:

  • Consent
  • Legal obligation
  • Legitimate interest: To learn about changes we need to make so the HSL Music /YPC is inclusive and accessible to individuals.

Children’s information and Safeguarding
We process information about choir members who are under the age of 18 in order to provide the best service for the child. We only process this information with the consent of a parent or carer and require them to be the primary contact for provision of services to their child. When photographs are taken, or rehearsals or performances are recorded of choir members, this is done by HSL Music Staff on HSL devices. Staff will have the appropriate safeguarding checks, for example enhanced DBS checks.

We take our safeguarding responsibilities seriously. If a child protection concern has been raised, we are required to share this information with the relevant safeguarding authorities without the consent of the individual child or responsible adult. In accordance with our safeguarding policy, we will keep secure records of any child protection issues in line with the Data Protection Act 2018. 

Sensitive information
HSL Music asks for sensitive information on your Childs enrolment form, this includes information about any medical needs your child may have. This information is required to ensure that we can provide the best access to our activities, and to make sure that participants are safeguarded while in our care. By supplying us with this information you are giving your consent for us to process it for this purpose. 
With all personal and sensitive information, HSL Music restricts access to those who need to use it. When the information is no longer needed it will be safely deleted. 

Accessibility Information for Events
If you are attending an event organised by HSL Music, we may ask you to provide information to make sure we can manage the event safely and efficiently. We may also ask you for details of any accessibility need which you may have, so that we ensure our event is inclusive, in line with the provisions of the Equality Act 2010.


Other uses of information
Enquiries

If you contact us with a question, comment, compliment or complaint then we may keep a record of this correspondence and any associated documents so that we have the information available in the event of an enquiry or investigation.

What we don’t do
We will not use your data for anything other than the purpose for which it was given. 


Data Security
HSL Music takes data storage seriously, and protects your personal information in a range of ways, including secure servers, virus protection software, firewalls and password protection. 

We destroy information in line with the Data Protection Act 2018.

How to ask us to amend or delete your information
If your information is incorrect, out of date, or if there is no longer justification for us to hold it, you can ask for it to be updated, removed, or withdraw consent for its use. 

Changes
If we make any changes to this privacy policy, you will be notified by email, and the updated policy will appear on this page of our website.

Your rights: Subject Access request
You have the right to ask for a copy of all of the information related to you that we are processing. You can request this in writing via email, using the contact email at the top of this document. If you make a request, we have one calendar month to respond to you.

How to complain
If there is a problem please do come to us so we can work together to resolve any indifference amicably.

Hopefully we can resolves any issues together, however, if you remain unhappy with how HSL Music has used your data after raising a complaint with us, you can also complain to the ICO.
